The Wood Whisperer, Inc. (“we,” “us,” or “our”) operates thewoodwhispererguild.com.
This Privacy Policy explains what information we collect, why we collect it, how we use it, who may process it for us, and the choices you have.

1. Information We Collect
Information You Give Us
Depending on how you use the Guild, we may collect:
- Your username, email address, and account information.
- Your name, display name, profile picture, website, biography, and other profile information you choose to provide.
- Billing information such as your name, address, phone number, and email address.
- Information about courses, subscriptions, and other products you purchase.
- Guild Stream subscription information, including your plan, renewal date, and payment history.
- Comments, forum posts, questions, photographs, and other content you submit.
- Messages you send us by email or through a contact form.
Your password is stored as a hash rather than in readable form.
We do not store your full credit or debit card number. Payment information is handled by our payment providers. We may receive limited payment information, such as the payment method, last four digits of a card, transaction status, and payment history.
Information Collected Automatically
When you use the Guild, we and the services we use may automatically collect information such as:
- Your IP address.
- Browser and device information.
- Approximate location based on your IP address.
- Pages and courses you view.
- Course and lesson progress.
- How you arrived at the site.
- Dates and times of visits.
- Information about how you interact with the site.
- Cookie and similar technology identifiers.
We use this information to operate the Guild, maintain your course library and progress, improve the site, prevent fraud and abuse, and understand how members use our content.
2. How We Use Your Information
We use personal information to:
- Create and manage your account.
- Give you access to courses and other content you purchased.
- Maintain your course library and progress.
- Process purchases and subscription renewals.
- Manage Guild Stream subscriptions.
- Provide customer support.
- Send receipts, renewal reminders, password resets, and other account messages.
- Send marketing when you have chosen to receive it.
- Operate and moderate Guild communities.
- Detect fraud, spam, abuse, and security problems.
- Measure and improve our courses, website, advertising, and services.
- Meet tax, accounting, and legal requirements.
- Run and improve our business.
Where required by law, we rely on an appropriate legal basis for processing personal information, such as your consent, fulfilling our agreement with you, complying with a legal obligation, or our legitimate business interests.
Where we rely on consent, you may withdraw that consent.
3. Your Guild Account
Your Guild account allows us to keep track of your purchases, course access, subscription status, and other member features.
We use your email address for account messages such as receipts, password resets, renewal notices, and other service-related communication.
Some profile information may be visible to other Guild members when you participate in comments or community features.
We may use Gravatar to display a profile image associated with your email address.
You can change much of your profile information through your account.
If you want to delete your account, contact info@thewoodwhisperer.com. We may need to retain certain records after account deletion when required for tax, accounting, fraud prevention, dispute resolution, or other legal purposes.
Deleting your account may also affect your ability to access courses you purchased.
4. Cookies and Similar Technologies
We and our service providers use cookies and similar technologies.
Some are necessary for the Guild to work. For example, cookies may keep you logged in, maintain your shopping cart, remember settings, or allow checkout to function.
Others may be used for:
- Analytics.
- Advertising measurement.
- Understanding how visitors use the site.
- Remembering preferences.
- Security and fraud prevention.
Where required by law, we ask for consent before using non-essential cookies.
You can also control cookies through your browser. Blocking necessary cookies may prevent login, checkout, or other Guild features from working.
5. Analytics and Advertising

These services may include Google Analytics and Google Ads, Meta, Microsoft Advertising, and Microsoft Clarity.
Depending on your privacy choices and the service involved, these companies may receive information such as:

- Actions taken on the site.
- Advertising or referral information.
- Purchase or conversion events.
Advertising platforms may use this information to measure advertising, attribute purchases to ads, and, where permitted, provide or measure personalized advertising.
We do not sell your personal information for money.
Some disclosures to advertising platforms may be considered a “sale,” “sharing,” or use for targeted or cross-context behavioral advertising under certain privacy laws. Where applicable, you have the right to opt out.

6. Session Analytics
We may use Microsoft Clarity or similar tools to understand how visitors interact with the Guild.
These tools can record interactions such as clicks, scrolling, navigation, and other activity and may create heatmaps or session replays.
We use this information to identify technical problems, confusing pages, and issues with checkout or site navigation.
We do not intentionally use session analytics to collect payment card numbers, passwords, or other sensitive information entered into protected fields.
7. Payments and Subscriptions
Payments are processed by third-party payment providers, including Stripe and PayPal.
These providers receive the payment information needed to process your transaction. We do not store your full credit or debit card number.
We receive transaction information needed to manage your purchase, such as whether payment succeeded, the amount paid, the payment method, and limited information identifying the payment method.
Guild Stream is a recurring subscription. We maintain information about your plan, renewal date, payment history, and subscription status.
Payment providers may maintain a payment token that allows an authorized subscription renewal without giving us your full card number.
We retain transaction records as needed for accounting, tax, fraud prevention, disputes, and other legal requirements.
8. Guild Communities and Comments
Guild Forum
Our member forum is hosted using Discourse.
When you access the forum through your Guild account, we may provide information needed to create or recognize your forum account, such as your email address, username, and name.
Information you choose to make part of your forum profile may be visible to other members.
The forum may store:
- Posts and replies.
- Likes and other interactions.
- Profile information.
- Reading and participation history.
- IP addresses and other technical information used for security and moderation.
Forum posts may remain after an account is closed so that conversations continue to make sense. Contact us if you want us to review personal information contained in past posts.
Guild Comments
When you comment on Guild content, we may collect your comment, account information, IP address, and browser information for publishing, moderation, security, and spam prevention.
Depending on your profile settings, your display name, profile image, website, or other profile information may appear with your comment.
We may use Automattic services such as Akismet and Gravatar for spam prevention and profile images.
Private Groups on Other Platforms
We may also operate private Guild groups on third-party platforms such as Facebook.
Those platforms collect and process information under their own privacy policies. We cannot control or delete information held directly in your account with another platform.
9. Video and Embedded Content
Guild pages may contain video players or other content provided by services such as Wistia, Vimeo and YouTube.
When this content loads, the provider may receive technical information about your visit and may use cookies or similar technologies.
If you are logged into an account with that provider, it may associate your activity with that account.
Those providers process information according to their own privacy policies.
10. Email
We use Kit, formerly ConvertKit, for marketing email and related email services.
If you choose to receive marketing email, we may send course announcements, Guild news, offers, surveys, and other updates.
Marketing emails may include open and click tracking so we can understand which emails and topics are useful.
You can unsubscribe from marketing at any time using the link at the bottom of an email.
We may still send service messages necessary to manage your account, purchases, or subscription, such as receipts, password resets, security notices, and renewal information.
If you contact us, we may keep your message as part of our normal business records.
11. Service Providers and Other Disclosures
We use outside companies to help operate the Guild.
Depending on our current services, these may include providers for:
- Website hosting and security.
- Payment processing.
- Email.
- Analytics and advertising.
- Session analytics.
- Video hosting.
- Community hosting.
- Spam prevention.
- Account and profile features.
- Business software and automated tools.
These providers may process information on our behalf or, in some cases, under their own privacy policies.
We may also disclose information:
- When required by law.
- To prevent fraud, abuse, or security threats.
- To protect our rights or the safety of another person.
- In connection with a merger, sale, financing, or transfer of all or part of our business.

We do not intentionally use private customer communications, account information, or other personal information to train public AI models.
We may use anonymous or aggregated business information with automated tools when that information does not identify an individual.
AI and automated tools do not make decisions about your legal rights or eligibility for Guild services without human involvement.
13. Security
We use reasonable administrative and technical measures to protect personal information.
The Guild uses encryption when information travels between your browser and our servers. Passwords are stored as hashes, and we limit access to member information to people and service providers who need it for their work.
Payment providers handle full payment card information rather than storing it directly on our systems.
No website, internet transmission, or storage system can be guaranteed to be completely secure.
14. How Long We Keep Information
We keep personal information only as long as reasonably needed for the purpose for which we collected it, to operate the Guild, meet legal requirements, resolve disputes, or protect our rights.
For example:
- Account and profile information is generally kept while your account remains active.
- Course purchase and access information is kept as needed to maintain your course library.
- Subscription information is kept as needed to manage your subscription and transaction history.
- Financial records are kept as required for accounting, tax, and legal purposes.
- Comments and community posts may remain available after an account closes.
- Customer support messages may remain in our business records.
- Analytics, technical logs, and session information are kept according to our settings and those of the providers we use.
When information is no longer needed, we may delete or anonymize it.
15. Your Privacy Rights
Depending on where you live, you may have rights concerning your personal information.
These may include the right to:

Some information may need to be retained despite a deletion request, including records needed for purchases, taxes, fraud prevention, legal obligations, or disputes.
Information held directly by another service, such as Facebook, YouTube, PayPal, or another platform where you have your own account, may need to be managed through that service.
16. Children’s Privacy
The Guild is not directed to children under 13.
We do not knowingly collect personal information from children under 13 without any consent required by law.
If we learn that we have collected personal information from a child under 13 in a way that does not comply with applicable law, we will take appropriate steps to delete it.

17. Changes to This Policy
We may update this Privacy Policy as our services, technology, or legal requirements change.
When we make changes, we will update the date at the top of this page.
